Airoli has quietly become the office end of Navi Mumbai. Between the IT belt around Airoli Knowledge Park and Mindspace, the MIDC units running towards Rabale, and the smaller sector buildings near the station, you get back offices, BPO floors, consulting firms and product companies within a couple of kilometres of each other. Most are staffed by people commuting in from Thane, Ghansoli and Kopar Khairane, which changes how you plan shifts and pantry size.

An office fit-out is a services job first and a design job second. What decides whether it works on a Monday morning is the power layout, the data cabling, the air-conditioning throw, the noise level in the open area and whether a meeting room can hold a video call.

Three kinds of office space in Airoli, three different budgets

Airoli is not one market, and which shell you have decides most of the cost before anyone discusses colour or veneer. A bare Grade A floor in an IT park arrives with a ceiling grid allowance, sprinkler and detector points, an air-conditioning system waiting for your layout, and a fit-out manual you must design to. An MIDC unit gives you height, industrial power and a shutter, and nothing else. An older sector office near the station is usually 500 to 1,200 sq ft with residential-grade wiring.

How many people actually fit: density and per-person area

Plan on carpet area, not built-up. A landlord quoting 4,000 sq ft is usually quoting chargeable area, and usable carpet can be 20 to 30 per cent less. Circulation, cabins, meeting rooms, pantry and services then take 35 to 45 per cent of what is left. These are the numbers we work to.

A 2,500 sq ft carpet floor holds 26 to 34 seats with a reception, two cabins, a meeting room and a pantry. Push it to 45 and you will also get a pantry queue and a phone-call problem you cannot fix without breaking partitions.

Reception, cabins and the client-facing edge

Reception is the part visitors remember and the part people over-build. It needs a desk with real storage, seating for three or four, somewhere for couriers to be kept out of sight, and a logo wall lit properly.

For cabins, glass with a frosted band keeps the floor open and pushes daylight into deep IT park plates. Solid partitions give privacy, better sound control and cost less than good glass. Most Airoli offices end up mixed: glass for managers, solid for HR and finance.

Conference rooms fail for boring reasons. A display with a window behind the speaker turns every video call into a silhouette, and a table with no power and data grommet means extension boards on the floor within a month. Fix the camera line, the display size and the cable route before the carpenter starts.

Acoustics, phone booths and the noise nobody budgets for

Open-plan offices fail on sound more often than on looks, and the biggest mistake is a partition that stops at the false ceiling. Sound carries over the top through the shared ceiling void, so the finance cabin hears the sales floor perfectly. Any room that needs privacy must have its partition carried to the slab with insulation in the cavity.

The rest is cheap if planned early: double gypsum board with glass wool inside cabin walls, an acoustic or fabric-finished stretch on a meeting room wall, carpet tiles in the workstation zone, and a solid door with a bottom seal.

Phone booths are now standard on Airoli floors. A single booth needs about 1.1 x 1.1 m with its own light, socket, data point and, critically, its own exhaust or fresh air inlet. A sealed booth with no air movement is unusable in five minutes.

Pantry, breakout and storage that gets used

Pantry position is decided by plumbing, not preference. The sink has to reach the building's existing drain line, and cutting a new line through a leased IT park slab is usually not permitted. Fix that point first, then plan the counter around it.

For a 30 to 50 seat office the pantry needs a counter with sink, a purifier point, two or three raw sockets at counter height, a fridge point and overhead storage. Most Airoli teams eat lunch in the office, so allow breakout seating for at least a quarter of the headcount, otherwise workstations become dining tables. Storage is still real here, so plan one lockable wall for statutory records, files and IT spares rather than scattered pedestals.

Server room, UPS and the rooms that are not an afterthought

Even a 40-seat office needs somewhere for the rack, switches and UPS. A cupboard behind reception is how offices end up with a hot, dusty rack and a switch that resets every summer afternoon.

A server room of 40 to 80 sq ft suits most SME offices, with conditions. It needs its own air-conditioner sized to run continuously, because the office system goes off at night and the rack does not. It also needs a separate distribution board, proper earthing, a smoke detector, and no water or drain line above it. Keep UPS batteries outside the sealed room where they can ventilate, and check floor loading if the bank is large.

Electrical, data cabling and HVAC coordination

This is the part that cannot be redone cheaply, so it deserves the most drawing time. Each seat typically needs two raw sockets, two UPS sockets and one or two data points. Those are three circuits arriving at one spot, and how they arrive decides how flexible the office is for the next five years.

On a bare IT park floor we prefer floor boxes or a raised skirting spine feeding workstation clusters, so a seat can move without opening the ceiling.

Data runs are Cat6 or Cat6A home-run to a patch panel in the server room, each under the 90 metre limit and labelled at both ends. The labelling gets skipped constantly, and then a fault takes two days to find. Air-conditioning belongs on the same reflected ceiling drawing as lights, sprinklers, detectors and speakers, because ducts, beams and the ceiling level all fight for the same 300 to 450 mm.

Lighting levels people can actually work under

Office lighting is measured, not guessed. Too little and people squint at paperwork; too much of the wrong kind and everyone sees reflections on their screen all day. We design to levels at working height.

Glare matters as much as level. Low-glare panels, linear profiles run parallel to the line of sight and indirect light in cabins do more for comfort than extra wattage. Keep emergency and exit fittings on a separate circuit.

Fire safety, building rules and landlord approvals

Every managed building in Airoli has a fit-out manual, and ignoring it is the fastest way to lose two weeks. The usual conditions are drawing approval before work starts, a refundable deposit, a named contractor with insurance, fixed working hours, a service lift, and debris removal at your cost.

The moment you add a false ceiling or partitions you have changed the sprinkler and detector layout, and that work almost always goes through the building approved fire vendor rather than your carpenter. Keep the exit route clear of cabins, never block a fire door with a storage unit, and keep extinguishers and hose reels visible.

Sector buildings and MIDC units have their own version: estate or society NOC, a working window of roughly ten to six, no Sunday work in residential buildings, and a deposit against lift damage.

What an office fit-out costs in Airoli

Read office cost two ways, per sq ft on carpet and per seat, because a floor full of cabins and a floor of workstations cost differently for the same area. A functional fit-out with basic ceiling, painting, ready-made workstations and minimal civil work sits around ₹800 to ₹1,000 per sq ft. A well-finished corporate office with full ceiling, glass cabins, proper cabling and acoustics runs ₹1,100 to ₹1,500. A premium client-facing office goes ₹1,600 to ₹2,200 and above.

Timelines and working around a live office

A small 800 to 1,200 sq ft office takes four to six weeks on site, a 2,500 to 4,000 sq ft floor eight to ten weeks, and anything above 6,000 sq ft twelve to fourteen weeks. Add one to two weeks before that for landlord drawing approval, and do not order furniture until the approval is in hand.

Working around a live office is common here, because most companies cannot take a floor offline. We phase the floor into zones, put up sealed dust hoarding, and move the affected team into temporary seating. Core cutting and heavy drilling go to evenings or weekends as the building permits, and the cabling cutover is planned for a single weekend. FAQs

How much does office interior work cost per sq ft in Airoli?

Ask what the rate actually covers. A per sq ft number normally excludes HVAC equipment, UPS and batteries, IT hardware, access control and the building vendor's fire work, so two quotes at the same rate can differ by several lakhs. Also confirm whether the rate is applied to carpet or chargeable area, because chargeable inflates the same job by 20 to 30 per cent.

How many workstations can I fit in a 2,000 sq ft office?

If 2,000 sq ft is carpet area, expect 20 to 28 seats with a reception, one or two cabins, a meeting room and a pantry. A dense operations floor can reach 32 to 35 seats. If that figure is built-up, usable carpet is 20 to 30 per cent lower, so confirm before planning headcount.

How long does an office fit-out take in Airoli?

Carpentry is rarely what slips. Overruns come from landlord drawing approval sitting unsigned, the building's fire vendor scheduling sprinkler and detector shifting on their own calendar, workstation and glass hardware lead times of three to five weeks, and finish decisions taken late. Release long-lead orders the day approval arrives and most schedules hold.

Can you renovate our office without shutting it down?

Yes, provided a few things come from your side. You will need to shift the affected team to temporary seating for two to three weeks, fix one weekend for the network cutover, accept restricted hours for noisy work, and name one person who can approve day-to-day decisions on site.
